This notice explains what Event Equipment Hire Ltd does with personal information, and what you can ask us to do about it.

What we collect, and why
When you enquire
When you send an enquiry through this website, call us or email us, we collect your name, contact details, and whatever you tell us about the event, such as dates, venue and the equipment you are interested in.
We use this to quote for the work and, if you go ahead, to deliver it. Our lawful basis is that the processing is necessary to take steps at your request before entering into a contract, and then to perform that contract.
How you found us
When you enquire, we record which advert or search brought you to the site, so we know which advertising is worth paying for. This is linked to your enquiry, not to you across other websites, and we do not need to store anything on your device to do it.
In practice we record the click identifier that Google adds to the web address when someone arrives from one of our adverts, together with the page they landed on. If you have not agreed to cookies, we hold that identifier on our own servers for up to two hours alongside a scrambled, one-way code derived from your network address and browser, not the address itself, purely so that an enquiry arriving a few minutes later can be matched to the advert that prompted it. That code cannot be reversed and cannot be matched from one day to the next, and it is erased after two hours. What remains is a link between an enquiry and an advert.
Our lawful basis is our legitimate interest in understanding which of our own adverts generate business, so we are not paying for advertising that does not work. We have weighed that against your interests: it is limited to our own site, it does not build a profile of you, it is not shared for anyone else’s advertising, and the part that could identify a device is short-lived and deliberately unusable for tracking. You can object at any time using the contact details above, and we will stop.
Cookies and similar technologies
We use cookies for analytics and advertising measurement. You are asked before any of those are set, and you can accept, decline, or choose which categories to allow. You can change your mind at any time through the cookie settings on this site.
Cookies that are strictly necessary for the site to function are always on, as the rules allow. Declining cookies does not affect your ability to use this site or to enquire.
If you become a customer
We keep the records needed to run the hire and the account: contact details, site and delivery details, orders, invoices and correspondence. Our lawful basis is performance of the contract, and our legal obligations for tax and accounting records.
Who we share it with
We do not sell personal information, and we do not share it for anyone else’s marketing.
We use a small number of service providers who process information on our behalf, under contract and on our instructions:
- Our hire management system, which holds customer and order records
- Our website hosting and email delivery providers
- Google, for advertising measurement and website analytics
- Our database provider, which stores the advertising measurement records described above
Some of these providers operate outside the UK. Where information is transferred abroad, it is protected by the safeguards UK data protection law requires, such as the International Data Transfer Agreement or an adequacy decision.
We will also disclose information where the law requires it.
How long we keep it
- Enquiries that do not become orders: up to 3 years, because event work is seasonal and enquiries often return the following year
- Customer and order records: 7 years after the end of the relationship, to meet tax and accounting requirements
- The short-lived code described under “How you found us”: 2 hours
- The link between an enquiry and an advert: kept with the enquiry record
Your rights
You can ask us to:
- give you a copy of the information we hold about you
- correct anything that is wrong
- delete it, where we do not need to keep it
- restrict what we do with it while a concern is resolved
- provide it in a portable format
- stop processing it where we rely on legitimate interests, including the advertising measurement described above
Where we rely on consent, such as for cookies, you can withdraw it at any time, and doing so does not affect anything done before you withdrew it.

Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. Changes
If we change how we use personal information, we will update this notice and change the date at the top.
